This privacy policy explains how we use the information we collect about you, how you can instruct us if you prefer to limit the use of that information and procedures that we have in place to safeguard your privacy.

We are the data controller of the personal data that you provide to us.
Personal data we collect
We need to collect your personal data when you request that we provide services to you.
If you are seeking a translation, we need your name, email address, geographical address, telephone number and payment details.
If you are seeking legalisation services, we will need your name, email address, geographical address, alternative delivery address (if needed), a copy of the photo page of your passport. We will also require copies of documents containing personal data. These documents may include all or any of the following: birth certificates, former marriage certificates, decree absolute, statutory declarations. The documents required depend on the requirements of the country where you wish to marry. These documents and this information must be provided in relation to both people getting married. You agree that you have the permission of the person you are marrying, or where you are not one of the people getting married, you agree that you have the permission of both parties to the marriage to share the data and documents with us. Once the marriage has taken place, you may also send us your marriage certificate for translation as required, and we may remind you to do so.
If you pay us directly, we will receive details of your payment information, but we do not store your credit or debit card details once payment has been taken.
All personal data that you provide to us must be true, complete and accurate, and the documents must be genuine and original.
We shall also collect any personal data you choose to provide us if you otherwise contact us to request information about our services, complete customer feedback or market research surveys, and/or use our website in any other way.
When you contact us by email or post, we may keep a record of the correspondence and we may also record any telephone call we have with you.
Data we automatically collect
When you use our website, we, or third parties on our behalf, automatically collect and store information about your device and your activities. This information could include (a) your computer or other device’s unique ID number; (b) technical information about your device such as type of device, web browser or operating system; (c) your preferences and settings such as time zone and language; and (d) statistical data about your browsing actions and patterns. We collect this information using cookies in accordance with the Cookie section of this Policy and we use the information we collect on an anonymous basis to improve our website and the goods we sell, and for analytical and research purposes.
Lawful processing of your personal data
We shall use your personal data in order to fulfill our contractual obligations to you, in particular to provide you with the translation and/or legalisation services you require; to respond to any questions you have about the services; to notify you about changes to this Privacy Policy and our Terms & Conditions of Business; and to provide you with requested information in response from an enquiry from you.
In addition, for our legitimate interests, we may use your personal data for market research purposes to ask you about our services; for customer support; to improve our services; to enforce any contract in place between us; and to protect against fraud.
In order to meet our legal obligations, we may use your personal data to ensure we meet our tax and other regulatory obligations and to ensure local jurisdiction regulations are met.
Marketing
If you consent to receive marketing communications, we shall use your personal data to send you information about our business that we think might interest you.
You can choose to no longer receive marketing communications by contacting us or clicking unsubscribe from a marketing email. If you do unsubscribe to marketing communications, it may take up to 5 business days for your new preferences to take effect. We shall therefore retain your email address in our records for marketing purposes until you notify us that you no longer wish to receive marketing emails from us.
Who do we share your data with?
We may share your personal data with third parties for our legitimate interests.
In order to provide legalisation services, we will inevitably share your personal data, and the documents you provide to us with the Foreign and Commonweath Office, consulates or other authorities in the country where you wish to marry.
We may also share your personal data with any service providers, sub-contractors and agents that we may appoint to perform functions on our behalf and in accordance with our instructions, including IT service providers, payment providers, email service providers, accountants, auditors and lawyers. We shall provide our service providers, sub-contractors and agents only with such of your personal data as they need to provide the service for us and if we stop using their services, we shall request that they delete your personal data or make it anonymous within their systems.
Under certain circumstances we may have to disclose your personal data under applicable laws and/or regulations, for example, to protect a third party’s rights, property, or safety.
For our legitimate interests, we may also share your personal data in connection with, or during negotiations of, any merger, sale of assets, consolidation or restructuring, financing, or acquisition of all or a portion of our business by or into another company.
Where we hold and process your personal data
Some or all of your personal data may be stored or transferred outside of the European Economic Area (the EEA) for any reason, including for example, if our email server is located in a country outside the EEA or if any of our service providers or their staff are based outside of the EEA. We shall only transfer your personal data to organisations that have provided adequate safeguards in respect of your personal data – although you accept that we cannot be responsible for the acts or omissions of the local ministries, consulates or other authorities in the country where you wish to marry.

We shall process your personal data in a manner that ensures appropriate security of your personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures. All information you provide to us is stored on our secure servers.
However, you acknowledge that no system can be completely secure. Therefore, although we take these steps to secure your personal data, we do not promise that your personal data will always remain completely secure.
Your rights
You have a number of rights under applicable laws.
You have the right to access data that we hold about you, the right to correct and update data that we hold about you, the right to have your data erased, the right to object to processing of your data, the right to ask us to stop contacting you for marketing purposes, the right to request that we transfer your data to another controller and the right to object to automated decision making and/or profiling.
To exercise these rights, or any other rights you may have under applicable laws, please contact us. We shall confirm when we have carried out your request.
Please note, we reserve the right to charge an administrative fee if your request is manifestly unfounded or excessive.

If you are outside of the UK, you have the right to lodge your complaint with the relevant data protection regulator in your country of residence.
Retention
If you have provided personal data to us, so that we can provide translation and/or legalisation services to you, we shall retain your personal data for 2 years after completion of the service. This is so that we can help you if you lose the translation of any of the documents we have provided. You can of course exercise your right of erasure at any time, but you agree that if you do so and you require a repeat translation of a document, we may charge you again to provide that translation.
If you have otherwise contacted us, we shall retain your data for 6 months from the date of contact.
Cookies
A cookie is a small text file containing a unique identification number that is transferred (through your browser) from a website to the hard drive of your computer. The cookie identifies your browser but will not let a website know any personal data about you, such as your name and/or address. These files are then used by websites to identify when users revisit that website.

General
If any provision of this policy is held by a court of competent jurisdiction to be invalid or unenforceable, then such provision shall be construed, as nearly as possible, to reflect the intentions of the parties and all other provisions shall remain in full force and effect.
This policy shall be governed by and construed in accordance with the law of England and Wales, and you agree to submit to the exclusive jurisdiction of the English Courts.
We may change the terms of this Privacy & Cookie Policy from time to time. We will try to give 30 days’ notice of when changes take effect, by email and/or in your account if applicable, except where changes do not materially adversely affect you or are beneficial. If you continue to use our website or services after the time we state the changes will take effect, you will have accepted the changes.
